DUTIES AND RESPONSIBILITIES:

  1. Responsible for managing the logistical and administrative aspects of importing and exporting goods
  2. To handle procurement functions for all foreign regions
  3. Responsible for overseeing all operations and admin duties relating to the procurement function in foreign regions, especially sub-saharan Africa
  4. Liaise with imports and exports stakeholders, inspection companies, planning, finance, warehouse, line manager, internal department, freight forwarders and shipping companies
  5. Ensure full support to nominated distributors in neighbouring states
  6. Coordinate deliveries via Distribution – 3PL, 4PL etc.
  7. Supervise the inspection and or loading of containers
  8. Ensure SARS quality compliances are my and ensure you are a part of the audit process
  9. Ensure monthly targets are met and exceeded
  10. Follow up on payment of accounts and ensure financial controls are being adhered to
  11. Ensure bank and SARS clearance formalities are met
  12. Presentation of papers to bank
  13. Ensure company complies with all laws, orders, and regulations from any government in the territory’s exports to
  14. Ensure all exports adhere to country restrictions and documentation is handed over to suppliers
  15. Ensure duty and anti-dumping duties are covered in our expected cost extrapulations
  16. General administration: filling, departmental duties, reports, graphs etc.
  17. Check stock availability and update tracker
  18. Compile monthly 3PL recons
  19. Preparation of exports documentation, including all documents related to Bill of Lading and Letters of Credit
  20. Prepare and follow up on quotes
  21. Compile and keep track of data sheets, COA’s and other quality information
  22. Processing orders
  23. Ensure all invoices are processed before cut-off
  24. Provide internal stakeholders with constant feedback on the progress of their PFI’s, orders, freight estimates and deliveries
  25. Receive, process and invoice credit note and returns
  26. Monitor incomplete delivery status and alert freight provider of the same
  27. Track and improve vendor performance
  28. Monitor materials flow to identify bottlenecks, forecast problems and suggest improvements
  29. Coordinate supplier payments with the accounts payable department
  30. Negotiate with current vendors or seek out new vendors that can offer lower prices without compromising quality
  31. Support management with risk assessments and mitigation activities
  32. Selecting carriers and negotiate shipping fees
  33. Keep a meticulous record of shipment information, inbound & outbound
  34. Excellent knowledge of import and export regulations and requirements
  35. Ensure that all documents from 3rd parties are received on time in full to ensure that forward exchange contracts are entered into timeously to prevent foreign exchange losses
  36. Ad hoc duties

REQUIREMENTS: 

  1. Matric or equivalent
  2. NQF 6/Degree/ Diploma in Supply Chain Management or equivalent – advantageous
  3. 2-3 experience within an Import/Export controller role
  4. MS Office with advanced excel skills
  5. Familiarity with Insurance and incoterms
  6. Extensive knowledge of NATIS, SARS requirement, Letters of credit, and Bills of lading, vessel tracking
  7. Excellent interpersonal communication skills to communicate with internal and external customers
  8. Good telephone manners and sound planning skills
  9. Ability to work independently
  10. Systematic, logical, and analytical approach, meticulous attention to details
  11. Excellent written and verbal communication skills
  12. Excellent problem-solving skills
  13. Good time management skills

KEY SKILLS:

  1. Regulatory knowledge of import/ export laws
  2. Shipping documentation expertise
  3. Cost control – cost saving opportunities without compromising compliance
