DUTIES AND RESPONSIBILITIES:
- Responsible for managing the logistical and administrative aspects of importing and exporting goods
- To handle procurement functions for all foreign regions
- Responsible for overseeing all operations and admin duties relating to the procurement function in foreign regions, especially sub-saharan Africa
- Liaise with imports and exports stakeholders, inspection companies, planning, finance, warehouse, line manager, internal department, freight forwarders and shipping companies
- Ensure full support to nominated distributors in neighbouring states
- Coordinate deliveries via Distribution – 3PL, 4PL etc.
- Supervise the inspection and or loading of containers
- Ensure SARS quality compliances are my and ensure you are a part of the audit process
- Ensure monthly targets are met and exceeded
- Follow up on payment of accounts and ensure financial controls are being adhered to
- Ensure bank and SARS clearance formalities are met
- Presentation of papers to bank
- Ensure company complies with all laws, orders, and regulations from any government in the territory’s exports to
- Ensure all exports adhere to country restrictions and documentation is handed over to suppliers
- Ensure duty and anti-dumping duties are covered in our expected cost extrapulations
- General administration: filling, departmental duties, reports, graphs etc.
- Check stock availability and update tracker
- Compile monthly 3PL recons
- Preparation of exports documentation, including all documents related to Bill of Lading and Letters of Credit
- Prepare and follow up on quotes
- Compile and keep track of data sheets, COA’s and other quality information
- Processing orders
- Ensure all invoices are processed before cut-off
- Provide internal stakeholders with constant feedback on the progress of their PFI’s, orders, freight estimates and deliveries
- Receive, process and invoice credit note and returns
- Monitor incomplete delivery status and alert freight provider of the same
- Track and improve vendor performance
- Monitor materials flow to identify bottlenecks, forecast problems and suggest improvements
- Coordinate supplier payments with the accounts payable department
- Negotiate with current vendors or seek out new vendors that can offer lower prices without compromising quality
- Support management with risk assessments and mitigation activities
- Selecting carriers and negotiate shipping fees
- Keep a meticulous record of shipment information, inbound & outbound
- Excellent knowledge of import and export regulations and requirements
- Ensure that all documents from 3rd parties are received on time in full to ensure that forward exchange contracts are entered into timeously to prevent foreign exchange losses
- Ad hoc duties
REQUIREMENTS:
- Matric or equivalent
- NQF 6/Degree/ Diploma in Supply Chain Management or equivalent – advantageous
- 2-3 experience within an Import/Export controller role
- MS Office with advanced excel skills
- Familiarity with Insurance and incoterms
- Extensive knowledge of NATIS, SARS requirement, Letters of credit, and Bills of lading, vessel tracking
- Excellent interpersonal communication skills to communicate with internal and external customers
- Good telephone manners and sound planning skills
- Ability to work independently
- Systematic, logical, and analytical approach, meticulous attention to details
- Excellent written and verbal communication skills
- Excellent problem-solving skills
- Good time management skills
